GENERAL INFORMATION
- Hours of operation:
- Monday through Friday from 8.00 a.m.to 5.00 p.m.
- Saturdays from 8.00 a.m. to 1.00 p.m.
- All stations are closed on Sundays and on all holidays shown below.
- Denver’s Station will be closed from December 1st 2014 until February 28th 2015.
- Statutory and Road Bear RV holidays:
- May 25th 2015 (Memorial Day), July 4th 2015 (Independence Day), September 7th 2015 (Labor Day), November 26th 2015 (Thanksgiving Day), December 25th 2015 (Christmas Day), December 26th 2015 (Day after Christmas), January 1st 2016 (New Year’s Day) and February 15th 2016 (President’s Day).
- Driver’s License and age: A valid national driver’s license is required for each driver. In addition we recommend that foreign customers have an international driver’s license or an English translation of the license issued by their home country. All drivers must meet the age between 25 and 79 years. For drivers aged 21 years, an authorization is required.

BOOKING INFORMATION:
- At time of booking we will need a 35% of total amount. Balance should be paid at least 30 days prior to pick-up date.
- The amount of US $ 1.000.- should be paid as security deposit at pick-up time with credit card (Master/Euro, Visa and American Express cards are accepted).
- One Way service between all stations (upon availability, to be requested at time of booking). Costs for one way services are the following:

- Cancellations:
Once a booking is confirmed, every cancellation needs to be made in writing. The cancellation fee will be calculated based on the business days Road Bear RV has received the cancellation:
- 60 calendar days or more prior to rental date – 100 US $
- 59 to 30 calendar days prior to rental date – 20%
- 29 to 15 calendar days prior to rental date – 50%
- 14 to 0 calendar days prior to rental date – 100%
Percentages based on nightly rental charge plus one way fee if applicable. We recommend hiring a personal insurance covering the cancellation fees.
- Booking amendments:
One free change per booking can be made up to 61 days prior to pick-up. US$ 50.- for any additional change. Bookings will be revised to the rate and/or discount level (such as Early Bird, Super Deal Rate, etc.) applicable at the time of name, date, vehicle or location revision.
- Long term discounts:
- 5% discount with 21 or more nights.
- 10% discount with 42 or more nights.
- Applicable only to daily rental rate.
- 10% Super Early Bird discount + free GPS with purchase of 50% discounted convenience kits with booking date on or before November 30th 2014 with pick-up on or after March 30th 2015.
- 5% Early Bird on time + free GPS with purchase of 50% discounted convenience kits with booking date on or before December 31st 2014 with pick-up on or after March 30th 2015.

- Taxes (special supplements):
- Colorado Road Safety fee: US$ 2.- per night (max.US$ 90.- per booking) applies to all bookings with Denver pick-up.
- New Jersey Security fee: US$ 5.- per night (max. US$ 140.- per booking) applies to all bookings with New York pick-up.
- Toll Road System in the Florida Keys: Since February 2011 the Florida Turnpike Enterprise has implemented an all-electronic open road tolling for the southern 47 miles stretch of the Turnpike, from US1 in Florida City to the Miami-Dade/Broward County line. The old tollbooths have been eliminated and the toll-fees cannot be paid in cash any longer . Customers picking up in Orlando may conveniently rent a Sun Pass Transponder at the branch US$ 5.- per day (max. US$ 50.- per booking) or through www.SunPass.com.
- It will be important for the customer to inform the Road Bear RV drop-off location of the fact that they traveled on the Florida Turnpike, regardless of what option they choose. In case that an invoice for toll fees will be sent to Road Bear RV will be charged to the customer’s credit card.

All bookings will have an extra charge of ? 60.- for bank transfer expenses in foreign currency.

VEHICLE PICK-UP AND DROP-OFF:
- 1. Vehicle pick-up time is between 12.00 noon and 4.00 p.m. from Monday to Friday. Saturdays between 12.00 noon and 13.00 p.m.Clients cannot pick-up the vehicle the day they arrive with an inter-continental flight and we recommend therefore spending the first night in an airport hotel or motel. A priority shuttle service scheduling will be granted to customers who have supplied at least 72 hours in advance, via TO or online “check-in” their pick-up location and how they can be reached to advise about the exact pick-up time. If customer should not have received such information the day before pick-up until 4.00 p.m., we advise the customer to call the pick-up rental station immediately but not later than 8 and 9 a.m. of the departure day. If customers choose not supply pick-up location 72 hours in advance, a complimentary shuttle service cannot be guaranteed.
- Drop-off time is between 8 and 10.30 a.m. from Monday to Saturday. The complimentary airport (hotel) shuttle leaves at 11. a.m.Transfers are provided to (but not from) the airports: Denver, Newark, Los Angeles, Las Vegas, Orlando, Oakland y San Francisco. (neither JFK nor La Guardia).The complimentary permitted amount of luggage is in accordance with the airline regulations (1 suitcase max. 50 lbs/23 kgs plus 2 pieces of hand luggage per person). Excessive luggage is the customer’s responsibility.
Unauthorized late returns will be charged an extra rental night for vehicles returned after 12.00 noon. An extra rental night plus US$ 300.- late fee applies for each day late. If the customer contacts ROAD BEAR RV and obtains the proper authorization to extend, the regular rental rate will apply.
No refund will be made for transfer service unused, delayed pick-ups / early returns or no shows.
- In case of an emergency, accident or technical problems, clients may call the emergency toll free number 24 hours a day, 7 days a week.The cost of gasoline and propane is not included and ROAD BEAR RV does not assume responsibility for estimates of consumption. All vehicles are delivered with full tanks and the customer is expected to return the vehicle with full tanks or will be charged accordingly.If for any reason the booked vehicle should not be available, ROAD BEAR RV reserves the right to substitute a higher-rated vehicle at no additional cost. Should a lower-rated vehicle be substituted, the liability is limited to the refund of the gross rate difference of the two vehicles.
Sales taxes are included for all pre-paid items. Local taxes apply to all pick-up & drop-off charges and may change at any time. Newly assessed governmental fees (other than sales tax or DMV fees) not know at this time, will be collected from the customer at pick-up.
The clients are responsible to return the vehicle with the interior cleaned and holding tanks dumped. The vehicle outside does not require cleaning by the customer. Cleaning and/or dumping charges will apply as posted at the drop-off location.
It is the client’s responsibility to report and pay for all parking/traffic violations at drop-off. Failing to report these violations at drop-off will cause a charge of US$ 100.- administrative fee per violation plus the fine (including all late charges) to the client’s credit card.

RESTRICTIONS AND PENALTIES:
- Pets are not allowed. A US$ 250.- minimum cleaning/deodorizing fee applies.
- Smoking is not allowed in any vehicle. A US$ 250.- minimum cleaning/deodorizing fee applies.
- Travelling into Mexico is not permitted.
- Travelling into Death Valley is not permitted between June 15th and September 15th.
- Travelling within Alaska, Yukon and/r NWT is permitted. ROAD BEAR RV must be advised at the time of reservation.
- Driving through gravel, dirt or logging roads and other non-public roads, beaches, etc. is not permitted. Nor inner cities of New York, Montreal and Quebec city in Canada.
ROAD BEAR RV will hold the customer responsible for accidents or mechanical breakdowns occurring in a travel restricted area.

MAINTENANCE:
The customer is responsible for checking engine oil and coolant levels at each refueling as well as reporting mechanical failures immediately. Coolant refills and authorized repairs will be reimbursed upon return of the vehicle and presentation of all receipts (see: mechanical breakdown). It is the driver’s responsibility to operate the vehicle in a safe manner and to exercise all caution possible.
- WINTERIZATION:All motorhomes MUST be winterized when traveling in freezing conditions. This includes the water pipes, toilet, fresh water tanks, sinks, shower, external shower, water filter, water heater and all holding tanks. Winterization requires that the water be drained from the fresh water tank, water pipes, water filter, water heater and all waste tanks.
Once the vehicle is winterized, no water can be put into the fresh water tank and it CANNOT be hooked up to the city water supply. Therefore, NO water is available in the motorhome. The toilet can be used only if non-toxic RV antifreeze is used to manually rinse and flush.Vehicles picked-up at the Denver and New York locations are always winterized between November 1st and March 31st. Depending on weather conditions this period may be longer. Vehicles out of other rental locations may be winterized as well, depending on outside temperatures.It is the renter’s responsibility to have the vehicle winterized while on a trip at his/her own expense should the weather conditions require it. The renter is also financially responsible for having the vehicle re-winterized on the return trip if the vehicle was winterized at the time of pick-up.
A US$ 100.- re-winterization fee will be charged by ROAD BEAR RV if the vehicle is returned non- winterized, regardless of the outside temperature (exceptions only with prior authorization).
The renter will be fully responsible for any damages to the plumbing and water systems caused by freezing during their trip.
- MECHANICAL BREAKDOWNS:For maintenance and repairs exceeding US$ 50.-, the customer must call the ROAD BEAR RV 24 hour toll free telephone assistance to get an authorization. Non-authorized invoices over US$ 50.- will not be reimbursed. Receipts must be presented for reimbursement. Customer will be held responsible for mechanical damage due to negligence in operation and/or maintenance..
- IN THE EVENT OF AN ACCIDENT:The customer must obtain a local police report as provided by the attending police officer investigating the accident. An accident report form is supplied to the customer and is located in the vehicle along with the registration and insurance papers.ROAD BEAR RV must be notified as soon as possible. A full-written report along with the other party’s name, address, phone number and driver’s license number on the supplied accident report form will be required upon return of the vehicle.
All documents relating to the accident must include a police report or identifying number.
Insurance coverage may be void if the above instructions are not followed.

8. INSURANCE SUMMARY: (The rental agreement is binding and has priority over all forms):
- Public Liability Insurance — (Secondary coverage included in the daily rate):
Public Liability Insurance to cover accidents in the event that the renter is at fault. The policy protects the rental company up to US$ 1.000.000 and the renter to Statutory Limits (State mandated minimum liability coverage). Liability insurance has no deductible and current limits can be checked under the following web address:

The optional SLI coverage provides the customer with an increased limit of liability protection. SLI protects the renter and any authorized driver listed on the rental contract for up to US$ 1.000.000 toward 3rd party damage claims. - Premium VIP Coverage (included in the daily rate):
VIP includes secondary comprehensive and collision coverage for the rented vehicle with a deductible of US$ 1.000.- per incident (a US$ 1.000.- Security Deposit will be authorized on a major credit card).Coverage includes but is not limited to:- Accidental damages to the vehicle (renter’s or 3rd party’s fault).
- “Uninsured Motorist” in case the renter is involved in an accident with a non-insured driver.
- Windshield & glass damage.
- Vehicle theft and fire (personal property and items in the vehicle are always excluded).
- Vandalism
No insurance coverage is provided (liability or comprehensive and collision) while traveling into non-authorized areas including but not limited to the country of Mexico, the inner cities of New York, Montreal and Quebec (Canada).
- Non covered Damages (including but not limited to):Customer has full legal and financial responsibility in case of:
- Renter’s negligence, e.g. backing up without a guide, following incorrect GPS guidance, etc.
- Breach or violation of the rental contract.
- Damages to the interior of the vehicle.
- Damages caused by freezing or overheating of vehicle or systems (please refer to “Winterization” as well).
- Deliberate and willfull damages caused by the renter or his guests.
- Damages caused to the vehicle by abuse or misuse for illegal activities.
- Damages caused by neglecting proper operating procedures, e.g. incorrect fuel type & quality, ignoring oil or coolant levels, air pressure, etc..
- Damages and losses caused during travel in or through restricted areas and damages due to “off-road” usage.
- Damages and accidents caused under the influence of alcohol, drugs or other controlled substances.
- Damages and injuries caused by overloading the vehicle and/or exceeding the legal towing capacity (towing limit — 1.500 lbs maximum with proper equipment).
- Carrying more passengers than having seat belts available
- Operation of the vehicle by anyone not listed on the rental contract or having a valid driver license..
- Operation of the vehicle by anyone not meeting the age requirements as shown on the rental terms & conditions.
- Personal damages and personal property are never covered.
- Vacation Interruption Protection (VIP) (included in the daily rate)Should the renter’s motorhome vacation be interrupted by an automotive mechanical breakdown (not accident or damages caused by the renter) for more than 12 working hours after reporting such to TO ROAD BEAR RV, the renter will be reimbursed for the greater of the gross daily rental rate or expenses for hotel rooms up to US$ 25.- per person per night and car rental up to US$ 50.- per day per motorhome with a combined maximum of US$ 1.500.- per tour.Defects and repairs of WIFI, GPS, Radio, TV, CD or DVD player, generator, AC, refrigerator, heater, water heater, slide-out room, awning, cruise control, etc. are not considered mechanical breakdowns and are excluded from VIP reimbursement.
Refund of expenses is only possible against proper receipts.
Please take note:
In case of a claim, ROAD BEAR RV will not act as an adjuster for any third party insurances purchased by the renter (such as $ 0,00 deductible insurance, etc.).
